Registration is now open for our 2010 Mini-Conference. Early registration fees will be for $55 until December 1, 2009, after which the registration fees will be $60. Registrations will be taken until January 25, 2010.

Voyager: Acquisitions/ vouchers with Voyager & PeopleSoft. Joseph M. Shubitowski, Getty. 45 min. This presentation will be about what we do to "sync" Voyager invoices/vouchers with our PeopleSoft Accounts Payable system. We have PL-SQL stored procedure code that extracts completed vouchers according to some very complex rule set. This then writes an XML encoded record block out to disc, this gets picked up by another server which runs a few XML transformations on the file to get it to look like the XML message block that PeopleSoft expects. We then ship these XML vouchers to the PeopleSoft staging server where it picks them up and loads them in.
Voyager: How do you come across? A collaborative look at the OPAC. Mary Logue/ Savannah Kelly, Westmont College. 45 min. Ever wonder if all that hard work in creating and editing your MARC records makes a difference to your patrons? Are all those fields really worth the effort? Can the public even view them? After looking at our OPAC display we realized that the public was unable to view all our hard work since the fields were not visible. So we went through a deliberate process of deciding which fields to show in the OPAC and how we wanted them to display. Join us to learn about our approach and discuss how to collaboratively incorporate public and technical service staff as you determine the best approach to creating a user-friendly OPAC.
Voyager 7 Tomcat WebVoyage Interface for Dummies, or: What will it take to customize our new user interface and remain sane? Laura Guy, Colorado School of Mines. 60 min. This session will outline some of what the presenter has learned about the Tomcat interface over the last 24 months. It will include an overview of the Tomcat UI and suggested ways to think about and plan customizations. There will also be a discussion of “fast and easy” changes you can make right away to customize Tomcat quickly. Topics such as XML, CSS, "skins," file naming conventions, the advantages of the Tomcat interface, and what to do when you "upgrade" will be covered.
SFX, MetaLib: Information Literacy for the Federated Searcher: MetaLib tips in a 50 minute session. Marcia Henry, CSU Northridge 60 Min. Highlights the current features in Metalib (Xerxes presentation) that are presented in a 50 minute class session as well as the critical questions users need to ask when reviewing retrievals and SFX menus. Teaching our patrons how to use their critical thinking skills to identify important key words, relevant databases, and the ongoing need to be able to identify elements of the citation are an essential component of teaching Metalib in an information literacy skills session.
Voyager: Access Full-Text E-Resources through OPAC: Bulk Import E-Resource Titles. Sharon Hu, Chicago State University. 45 min. Chicago State University Library uses Voyager ILS through the Consortium of Academic and Research Libraries at Illinois (CARLI), including all electronic resources (e-resources) configured through SFX with the Voyager ILS. Instead of using an expensive e-resources management system, we bulk import bibliographic MARC records to the Voyager system; these MARC records are all full-text e-resource titles that are subscribed from various vendors with multiple corresponding access URLs. This places the bibliographic records with multiple 856 fields in the Voyager OPAC for the library users to directly access full text e-resources through the OPAC. This presentation will provide details such as: why import all full text e-resource titles to the Voyager ILS and what benefits are there for users, where and how to obtain the bibliographic MARC records (EBSCO), what bibliographic bulk import rules to setup in Voyager System Administration, what other system settings need to be configured along with the bulk import process, tips on how to prepare MARC records for import, what procedures are used for this process, and what frequency data needs to be updated and the process involved in updating MARC records. The practical process and operational procedures presented will help libraries handle e-resources in a different way and will improve the efficiency of accessing the e-resources by the library users.
General: Integrating Technology in teaching library skills. Anita Varela/ Barbara Sproat, Santiago Canyon College. 45 min. This session will be a demonstration of using SynchronEyes, clicker and Poll Everywhere in teaching library skills.
Implementing Aleph, ARC, SFX and MetaLib: Experiences and Lessons Learned. Chris Lincoln/ Susan Braun, Aerospace Corporation. 60 min. The authors implemented four ExLibris products this year: Aleph, ARC, SFX and MetaLib. Chris Lincoln will discuss lessons learned from switching ILS software, including database clean up requirements, Aleph configuration experiences and fine-tuning the OPAC. In addition, she will briefly talk about ARC, what it can do, and how it's working at Aerospace. Susan Braun will discuss her experiences and lessons learned setting up SFX and MetaLib, including linking to our numerous content vendors, developing and testing quick sets in MetaLib, and customizing the MetaLib interface.
Voyager: Access Demystified: Voyager 7 Access Query and Reports Basics. Anna Lois Kroll, The Master's Seminary. 60 min. This session covers the basic step by step process of writing a query using another query as a base, pasting in someone else's SQL, and making a query from scratch. Access queries will be examined to show what the different parts mean. It will also cover the basics of making a query look nice in report format. This session is designed to help the novice become more comfortable with Access queries. Although I will be using Access 2007 for the presentation, a lot of what I cover can be used in Access 2003.

First of all, welcome, and THANK YOU for registering to attend the eSWUG 2010 Mini-Conference in Orange County, CA on Friday, February 19, 2010. The purpose of this informational sheet is to give you as much information about the event ahead of time to facilitate your planning.

As you may be aware, Regional User Groups (RUGs) are a Voyager tradition that is now expanding to include ALL Ex Libris product users. This is a huge and exciting experience for those of us planning the event this year. We are fervently hoping that we have developed a program that will appeal to end users of a variety of Ex Libris product users.

The eSWUG 2010 Mini-Conference can be thought of as a Mini-ELUNA for the southwest region of the U.S. Since ELUNA 2010 will be in Texas, this regional event will be MUCH closer for those of us in the southwestrn region. That said, anyone wishing to attend our event from another region is more than welcome to come. Flight and hotel information is given below for the out-of-town attendees.

Host Library: Santiago Canyon College Library

The Santiago Canyon College, located at the eastern border of Orange, California, is a two-year community college. The Library, which opened in 2006, has earned a merit award from the American Institute of Architects' Committee on Architecture for Education in 2007. The Library offers not only a wide selection of books and AV materials, but also private study rooms, a faculty development center and a student innovation zone.

Points of Interest around Orange

City of Orange is unique among the region and the state in that it has the second largest concentration of historic buildings. Many homes were built prior to 1920 in its Old Town District. It is a delight to walk around the downtown and shop the antique stores.

Another attraction is the Irvine Regional Park. Located in the scenic foothills of East Orange County, the Irvine Regional Park is California's oldest park (donated by James Irvine in 1897). It has a rustic, early Californian atmosphere and offers such unique features as the Orange County Zoo and Irvine Park Railroad. It is also an ideal setting for observing wildlife, visible along the nature trail and on the surrounding hillsides.

eSWUG meeting that was held at ELUNA 2009 Richmond, Virginia Minutes, May 5, 2009 - There were 8 attendees total. - Alice Ho was unanimously voted as Treasurer. - Chris Lincoln at The Aerospace Corp was nominated and elected unanimously as the next chair elect. Chris has expertise with Aleph, SFX and MetaLib. - The changes to the bylaws were unanimously approved. - Heather Tunender, Electronic Resources Librarian at the Paulina June and George Pollak Library, Cal State Fullerton, offered to assist with the 2010 mini-conference event. Approval of July 30, 2008 minutes by show of hands.
Financial Report by Nell Yang, Treasurer. In order to make this event more affordable it was decided to use some of the reserves to subsidize the cost. Roughly 50% of the reserve was used, leaving approximately $1,000 in reserve.

New Business

ELUNA May 2009 in Virginia

In the absence of eSWUG officers at ELUNA Christina Salazar from the Getty Research Institute will preside over the Annual Meeting.

Nominees for chair-elect were solicited.

Discussion of the position and its time commitment ensued.

Future of Regional Groups

Most Regional Groups’ events were smaller this year. Some of the reasons for this were discussed (same fiscal year as ELUNA, economic situation, ELUNA was just in this region, other users are not familiar with Regional Groups).

i. Ours was the highest attended.

Discussion on how events should be done.

i. Should we move from annual to biennial workshop? Attendees were asked to mark their evaluation sheet with their preference.
ii. Discussion of what a host site would need to have/be able to do
iii. There is a need for a conference committee, not just the four officers, to plan these events. It would be especially helpful to have users of products other than Voyager as part of the planning.
iv. Virtual meetings would cut down on travel problems, but you lose networking and the human touch.

There needs to be more outreach about eSWUG, not just our events. A case should be made for why people should be involved and what they will get out of the Regional Group.

i. Suggestion: make events more end-user focused, more teaching on the front-end of the products, best practice round tables, rather than training events. This is what many Ex Libris product users are familiar with.

Wiki

eSWUG has a wiki. It includes archives and is open to the whole user base to find information and/or post information. It was asked if some of the training materials from this event may be able to go onto it. Tate Nunley indicated that the Ex Libris training materials could not go out to a public space such as our wiki.

Outreach

This was the first eSWUG event which had both Voyager and other Ex Libris product users. We are trying to merge two very different cultures into this Regional Group. There needs to be more outreach to those users who aren’t used to Regional Groups.
Outreach needs to be focused on the benefits of the group, not on events we are having. We need to explain who we are and what we can do for users in our area. We need to answer the question: “What can we as a Regional Group do to make you a better librarian?”

i. Maybe create a nice pamphlet or brochure that can be sent out.

What's a 'webinar'? Each webinar is the official upgrade training that Ex Libris provides for Voyager modules -- slightly compressed. They no longer send a representative to each library for training -- instead they offer online, in-person training. The webinar trainer will be showing her desktop (which will be projected onto a screen) and be speaking to us over a phone line (with speakers so all can hear). Attendees can ask questions and the webinar trainer will respond -- all in real time!

The Voyager 7 Upgrade webinar session will cover the new WebVoyage and features that all the other staff modules share in common.
Each of the staff module webinars will focus on the features and use of each module.

Registered attendees will receive a certificate of completion for each training webinar session.

These webinars could be considered, in this case, "Train the Trainer" experiences, or multiple people from each library could come and attend the webinars they're interested in.

eSWUG was originally established and recognized on July 17, 2001 by the State of California as a non-profit organization under the name Southwest Voyager Users Group (SWVUG). With the 2006 sale of Endeavor to Ex Libris, all Regional User Groups updated their names to reflect company changes. Therefore, on April 26, 2007 the group was officially renamed to Ex Libris Southwest Users Group (eSWUG).

PURPOSE: The purpose of this organization is to serve as a forum for sharing information and expertise in the use of Ex Libris library software products amongst Southwest region libraries. The Southwest region consists of Arizona, California, Colorado, Nevada, and New Mexico. We are supported by Ex Libris.

MEMBERSHIP: Membership consists of individuals from institutions that employ Ex Libris products within the Southwestern region of the United States. No membership dues or activities are required.

BYLAWS: eSWUG is governed by its bylaws.

COMMUNICATION: Communication to and between members regarding official eSWUG activities is primarily conducted through listservs where "eSWUG" begins each subject line. And now there is the eSWUG wiki's Discussion Forum where members can discuss topics of interest, ask questions, etc.

OFFICERS: Initially, officers were appointed in order to facilitate the founding the organization. An election procedure was established in the bylaws to elect future officers.

MEETINGS: Business meetings are planned at least annually to coincide with the general User Group Meetings. An additional business meeting is scheduled in conjunction with the mid-year eSWUG Training/Program Event. Upcoming and historical meeting dates, agendas, and minutes are available on the eSWUG Calendar.

BENEFITS: This organization is shaped by the needs of its members. Input is encouraged and welcomed. Every member can add suggestions for mini-Conference programming, general information, announcements, and/or participate in discussions to the wiki.

The eSWUG Regional mini-Conference event reduces travel costs, especially when the national ELUNA is held far from the Southwest Region, and registration fees are always reasonably priced.

Networking and sharing face-to-face at the mini-Conference event, as well as through discussions generated on the Ex Libris user lists and eSWUG wiki, allows for working relationships to develop with peers who experience similar circumstances in the Region.

Article 8	ELECTIONS AND TERMS OF OFFICE: · ELECTIONS: Elections shall be conducted annually by a simple majority vote of members present. The Officers shall present candidate(s) to the membership with further nominations open from the floor with the consent of the nominee. · TERMS OF OFFICE: The Chairperson-elect shall be elected every year. The Chairperson-elect shall serve one year as Chairperson-elect and then serve one year as Chairperson. The Secretary-Treasurer and the Secretary shall be elected in even-numbered years for a two-year term. · REPLACING AN OFFICER: Should the Chairperson-elect, or Secretary-Treasurer or Secretary be unable to fulfill the obligations of their terms, the Chairperson shall name an individual to assume the responsibilities for the unexpired portion of the term subject to confirmation at the next membership meeting. Should the Chairperson be unable to fulfill the obligations of their term, the Chairperson-elect shall take over these responsibilities.
Article 9	COMMITTEES: The Chairperson shall establish committees as needed. In addition, the Chairperson shall be responsive to suggestions from members to form special interest committees.
Article 10	COMPENSATION: There shall be no monetary compensation for any officer of the Group for duties performed.

August 2001 Training Event

The Southwest Voyager Users Group held its first training event on the campus of Santa Ana College during the week of August 20-24, 2001. The total number in attendance was over 100 members for the five sessions.


Nell Yang, our hard-working Secretary/Treasurer, participates in one of the sessions.		The Intel group! Our special library contingency, Bonnie, Helen, and Carlotta, came from three locations.


When not making a presentation, Endeavor Trainer Kim Litland provides individual hands-on assistance as needed.		Endeavor Trainer, Chris Neely, warns that it's going to be tough going, but we can do it!


There were plenty of computers set up for valuable hands on activity.		Alan Manifold shares his Access Reports expertise with a packed class.

Lunch and the business meeting was held in the library's Periodical Reading Room.
		SWVUG Chair, Robin Hartman, presents Maria Sugranes, Library Director of Santa Ana College, with a certificate of appreciation for her invaluable support.
