Welcome – especially to non-Voyager Users
Introduction of Officers
Old Business1. Approval of February 6, 2008 Meeting Minutes.
2. Training/Update Event February 6, 2008 Report
a. Poster Session invitation. Margaret invited everyone to visit the eSWUG poster session coming out of that event and passed out tri-fold brochure created by Nell Yang and Carol Sterenberg of Santa Ana College.
b. Ex Libris provided funding for the food for this event.
3. Financial Report by Nell Yang, Treasurer in absentia. Currently there is nearly $2,300 in the eSWUG bank account after the 2008 Training Event tuition payments were deposited ($2,000) and cost were paid out ($1,280).
New Business1. Election of new officers.
a. Ballots were distributed, job descriptions were reviewed, and nominations were called for: Chair, Chair-elect, Treasurer and Secretary. Web manager may also be solicited.
b. History and purpose. A question was asked regarding the history of eSWUG.
· Margaret explained that among Ex Libris customers, regional user groups are unique to Voyager users.
· Robin gave a history of eSWUG, including the main purpose historically being training for Voyager users.
· A question was asked of non-Voyager users: What would they like to see the regional group do for them? One suggestion was round table discussions (seconded). Citing too small of a customers base to warrant large scale training programs, it was suggested that a combination of training, regional group business, with an opportunity to discuss issues with implementations, integration, and management of various products would be beneficial. Voyager users agreed.
· Robin and Margaret described the history and work load of the officer responsibilities including planning events.
c. Nominees ran uncontested and new officers were elected as follows:
· Chair – Margaret Driscoll, CSU Channel Islands (incumbent)
· Chair-Elect – Anna Kroll, Master’s Seminary
· Secretary – Mary Logue, Westmont College
· Treasurer – Nell Yang, Santa Ana College (incumbent)
2. Bylaws Update (Name change)
· Copies of the eSWUG bylaws was distributed with a recommendation of changing the name of the group from South West Voyager Users Group (SWVUG) to Ex Libris South West Users Group (eSWUG) to indicate the inclusion of non-voyager product users.
· Approved by all present with a unanimous show of hands.
3. Web Site and Wiki.
· The eSWUG web site (
http://voyager.hiu.edu/eswug/) has migrated to a Wiki at
http://eswug.wetpaint.com/ to allow greater interaction among members. Margaret shared statistics of visits so far and gave a demonstration of the new Wiki. She invited everyone to become members, make contributions (edits, uploads) and get involved in discussions. Currently there are 7 members registered since July 13th. A volunteer to manage the wiki is being sought. Currently Margaret is willing to 'moderate' the wiki, but all are welcome to participate.
4. Training Event ideas for mid-winter 2008-09
· Ex Libris has asked that we choose a consistent time of year for annual regional events in order to coordinate attendance of Ex Libris Representatives.
· Ex Libris provides free support – food, goodies, speakers – and will help communicate with members to promote the event for us. (They cannot provide contact information of other customers.)
· Margaret reported that other regional groups get sponsors. She will investigate this idea for us.
· Ex Libris will reimburse Regional User Groups up to $400 for events with 100 or less attendees and $500 for events with more than 100 in attendance annually.
· ELUNA will be in May the next two years – Virginia 2009 and Texas 2010.
· After some discussion regarding this year’s use of Ex Libris funding, possible conflicts with other conferences, and academic library terms, February was agreed to be a good time of year for our events.
5. Question – What does the group think of the direction that Ex Libris is headed? Some discussion included concern and anxiety for Voyager and other product users (although three of the four non-voyager users had left).
